Jam Session

To reduce the risk of jams in your copier/printer, follow these paper handling guidelines;

  •  Store paper seam side down in a cool, dry environment.
  •  Keep reams sealed until you are ready to install in the machine.
  •  When adding paper to the copier/printer, follow manufacturer’s recommendations for placement of first side copying.  (know which side of paper is printed on first, it varies in machines)
  • The smaller the recycled percentage in the paper, the better and cleaner the machine will run.
  •  The better the quality of your paper, the fewer problems you will have.
  •  When removing jams, always remove the paper in the direction of its travel through the machine
  •  KEEP YOUR COPIER HAPPY…FEED IT THE GOOD STUFF !

Digital Imaging Service Contracts

Service Maintenance Contracts:

    As a Digital Imaging Specialist I wanted to provide you with some thoughts on maintaining a service contract on your imaging equipment. I have many customers who have expressed to me feelings on both sides so I wanted to share some of them with you. I know during these tough times you may feel that service coverage is something that you can do without. My overall experience has been that customers have gained a greater sense of confidence, productivity and cost effectiveness when they maintain a contract. These are some things to consider when you don't have a contract. 

 What if my machine breaks down? Can I afford to repair it?

 I haven't budgeted for this expense. 

 The machine is still running I'll just ignore that noise, the machine is still makes copies (Could be a major expense waiting to happen?).

 I'll just buy a new machine instead. Office quality machines last many years if taken care of properly and are low cost per page as opposed to machines purchased at a retail outlet that are more designed for home use and are basically disposable. Not good for our landfills and tend to be very high cost per page. Ouch.... those supplies!

 It's also hard to know when to replace a machine that does not have a service contract. "Ok just one more repair then I'll replace it". Very stressful and can be quite costly.

 Most items we buy today offer an extended service contract. Most of those items are not used as heavily as a copier and aren't as mechanical in design.  These machines are vital to our day to day operation and we have enough things to concern ourselves with without having to worry about our imaging equipment and if it's going to hold up and can I afford the expense to repair it. Having a service contract and a company like Advanced Copy Technologies that stands behind that equipment ensures a much more productive operation..... Maybe I'll print a copy of this!

Paper can’t be the final answer!

Every 4 to 5 years or so you sign another contract on upgrading your current MFP’s.  The payments are strenuous and with the economy still in the trenches, the payments are anything but fun.  Yes, they are needed in order to run your company and you obviously work in a very paper intensive industry.  You have a clear vision as to what your output and volume will be each month/year and when the contract comes due you search for reasonably priced machines that will essentially mirror what you currently have.  4 years go by and the cycle starts all over again, another bid war with copier salesmen calling you 10 times a day telling you that they are the best company ever and that their service is outstanding.  Perhaps some of these reps are telling the truth yet others are just trying to make a buck.  I’m sure this sounds familiar and if it doesn’t than you’re 1 in a million.

The beauty of software is that it allows you to slowly move into a paperless world.  Scanning documents and sending via email is not only paperless but it is so fast.  Time is money and everything is done immediately.  PDA’s and cell phones can receive documents and can be redistributed without ever seeing paper.   Not only are you saving money but you are helping the environment in so many ways.  Archival, retrieval and sending documents are all done in seconds and you never see the cost of a piece of paper. It allows you to audit output and cut paper in half over a 3 year period with immediate savings of 20%.  You may have needed that 60, 70, 80 page per minute machine before but you have just decreased your paper output by almost half and no longer need that large of a machine.  Not only have saved money on the actual hardware but you have decreased your paper consumption tremendously. 

Lastly, it builds morale within a company and makes employees feel better about them-selves.  Technology is moving forward and we need to believe that paper will not control us.  Employees will honestly feel that they are more important hence working more productively, efficiently and smarter.

Worried About Data Being Stolen From Your Copier?

Yes it’s true; the majority of new copiers do have hard drives installed in them. This is primarily why you can do so many wonderful things with these devices from printing, scanning and even storing documents on the machine. However like any hard drive, just like the one you have in your PC or MAC, data is stored there. Any time you make a copy or scan an image that data remains on the hard drive until it is rewritten. There is a popular misconception that when you delete data or send it to the recycle bin it is gone. That is not the case, the sectors on the hard drive that contained that data is simply made available to be rewritten. Just about anyone with a little computer experience and the right software can mine that data. Fortunately, both of Advanced Copy’s vendors provide solutions for this issue.
